Job description Notarial Legal Secretary
This role requires an individual to provide a high quality, comprehensive secretarial service to Partners, Associates, Paralegals and Trainees working within the Notarial practice area/firm as required. This is a full time position based on a 40/hour work week.
Undertake all aspects of the secretarial role as required.
Provide an excellent service to clients and work as a team with fellow secretaries.
Demonstrate flexibility in supporting principals and fellow secretaries.
Proactively contribute to the group/division/firms’ success by actively seeking to improve working processes, anticipate needs of clients and colleagues and take action accordingly via the Secretarial Advisor.
Document production
Undertake all document production tasks to the highest standards and to agreed deadlines using appropriate software and all available resources
Type from audio, manuscript or shorthand, using house style documents and non house style where required
Prepare PowerPoint presentations and Excel spreadsheets when required
Draft simple correspondence when required
Prepare notarial deeds for execution and administration after execution (registration with KvK and tax authorities, true copies, filing deeds etc.);
Prepare and update shareholders? registers
Keep draft and neat repertory for deeds up to date
Legalise documents
Undertake photocopying, scanning and faxing as required
Assist other members of the group/division/firm as required
Meetings and travel management
Manage principals’ calendars
Arrange conference calls, meetings, catering (as required when these demands cannot be met by Reception)
Co-ordinate all travel arrangements including taxis, accommodation and expense forms as appropriate
Prepare and collate papers ahead of meetings
Client relations
Deal with internal and client calls in a timely, confident, helpful manner and pass on accurate messages as required / action where necessary
Deal with visitors in a confident and professional manner
Keep client contact details and lists up to date
Billing
Assist in preparation of bill narratives and draft cost details, as required
Assist in monitoring the billing process, as required
Administration
KvK registration (register deeds, management board changes, filing other documents etc.)
Deal with incoming and outgoing mail for all allocated principals
Monitor own and principals emails as required and forward/action as necessary
Establish and maintain effective and accurate filing systems in accordance with the office policy (hard copy and electronic)
Assist in opening new clients and matters, as required
Miscellaneous
Record time for principals in their absence or as required
Attend training as required to keep up to date with firm wide procedures and to enhance personal development
Work proactively as part of a team to ensure time is used effectively using all available firm wide resources to meet pressured deadlines
Participate in group specific activities such as covering for each other during lunch and absences
Effectively manage and prioritise work
