Job description Program Coordinator Marketing, Sales & Customer Care
* The Program Coordinator role exists because the Marketing, Sales & Customer Care department (MSC) and its Program Managers need to be able to focus on their key deliverables; the program coordinators will give these program managers the support that they need in order to fulfil their requirements
* Having the Program Coordinator will increase the efficiency and accuracy of the MSC team
* The unique contribution of the Program Coordinator position lies in the fact that the person in this role will focus entirely on the project & program administration tasks allowing the MSC to deliver the projects on time with the required level of quality
* The Program Coordinator will be responsible for all project related administration tasks.
Main Responsibilities:
* Assist the Program Managers in creating and updating the project plans
* Maintain PMO Mailbox and network drive, including back-ups
* Archive all relevant correspondence
* Organise meetings
* Create minutes of meetings with other departments and vendors
* Prepare & collate input for reports and presentations
* Assist & support the management, other members of MSC and affiliate local PMO’s as required by the Program Managers
Progress Reporting:
* Assist Program Managers in compiling their progress reports
* Ensure the reports are issued on schedule every week
* Ensure quality of content and appearance of the reports is maintained and improved were possible
Issue / change request Management:
* Maintain the issues/change requests log and chase for updates
* Ensure all work streams are following the issue and change request processes
* Ensure all communication around the issues and change requests to the relevant stakeholders (internal departments, affiliates, vendors)
Job requirements Program Coordinator Marketing, Sales & Customer Care
* preferably a native English speaking person (a person with really good English skills could be an option too)
* Admin experience
* MS Office skills
* somebody who has created Powerpoint presentations in previous positions
* somebody who is used to take minutes / somebody who is willing to take minutes
* preferably someone that has worked in a technology environment before
